Put an Expiry Date on Every Quote You Send via WhatsApp

A quote without a deadline sits in a chat forever while your prices and diary move on. How to add a fair expiry date that creates urgency, without tricks.

A customer asks for a price on WhatsApp. You send a careful quote. Three weeks later they reply: "Okay, book me in at that price." But your material costs have gone up, your diary is full, and the price you quoted no longer exists. Now you are stuck between honouring a stale number and an awkward conversation.

This happens to UAE small businesses every single day, and it is entirely preventable. The fix is one line: put an expiry date on every quote you send.

Why quotes die without a deadline

A quote with no expiry has no reason to be answered today. It sits in the chat, buried under newer messages, and the customer's sense of urgency drops to zero. Meanwhile your side of the equation keeps moving: supplier prices change, your schedule fills up, promotions end. The longer a quote floats, the less real it becomes — for both of you.

An expiry date is not a pressure tactic. It is honesty. It tells the customer the truth: this price reflects today's costs and today's availability, and both can change.

What a fair expiry looks like

For most services — salons, clinics, workshops, maintenance — seven to fourteen days is fair and normal. It gives the customer real time to decide without rushing them.

For jobs where material prices move, tie the expiry to that reality: "This quote is valid for 7 days. Material prices are changing weekly at the moment, so I will need to re-check after that." Customers respect this because it is transparent, not salesy.

For seasonal or promotion-linked pricing, the expiry writes itself: "This is our Ramadan package price, valid until the end of the month."

How to write it in one natural line

Do not bury the expiry in formal small print. Put it in the same message as the price, in plain language:

  • "Total is AED 850, and I can hold this price until Thursday, 29 October."
  • "This quote is valid for 10 days — happy to hold your slot until then if you want to go ahead."
  • "Prices on the parts are moving at the moment, so this number is good for one week."

Notice the pattern: the date is specific, the tone is helpful, and there is always an easy next step. You are not saying "decide now or else." You are saying "here is how long this stays true."

What to do when the expiry passes

The expiry date earns its keep after it lapses, because it gives you the most natural follow-up message in sales. Three situations:

  • They reply after expiry and accept: re-check your costs first. If the price still works, honour it — you look generous. If it does not, be straight: "That quote was valid until last week and the material price has moved since — the updated figure is AED 920. Still happy to do it this week." Honesty here builds more trust than the discount would have.
  • They ask for more time: grant a short extension, once. "I can hold it until Sunday." An extension you choose feels like service; an open-ended quote feels like you have no boundaries.
  • They went quiet and the date passed: this is your follow-up, gift-wrapped. "Just a heads-up — your quote from last week expired yesterday. Want me to refresh it for you?" Most lapsed-quote replies come from exactly this message.

Mistakes that undo the whole thing

  • Expiry too short. Twenty-four hours on a considered purchase feels like a threat, not a deadline. Save short windows for genuine same-day offers.
  • Not honouring your own deadline. If you quote "valid 7 days" and then honour the old price three weeks later, customers learn your deadlines are theatre. Hold the line politely.
  • Hiding it. An expiry the customer never noticed creates the exact awkward argument you were trying to avoid. Same message as the price, every time.

Make it a template, not a decision

The owners who do this well never think about it — the expiry line is part of their standard quote template on WhatsApp. Write your quote, add the line, send. It takes five seconds, and it quietly transforms every quote from an open-ended maybe into a decision with a date. Decisions with dates get answered. That is the entire game.
