It's 11:40 at night. Your salon closed hours ago, but your WhatsApp is still open for business — at least, that's what the customer thinks. She found you on Google Maps, tapped "Chat", and asked a simple question: "Do you have a slot tomorrow afternoon?" She will get your reply at 9 in the morning. By then she has asked two other salons the same question. Guess who replies first.

This is the quietest leak in a small business. Nobody complains about it, because nobody sees it. The enquiries arrive after hours — late evenings, Friday mornings, the lunch rush when you are mid-appointment — and they wait. Waiting is fine if they actually wait. Many don't.

What an after-hours customer really wants

She is not expecting a full conversation at midnight. She wants three things: confirmation that the business is real, an idea of what happens next, and the feeling that someone will get back to her. That is it. A good after-hours setup delivers all three in under a minute, without you touching your phone.

The one message that does the work

WhatsApp Business has an away message feature built in. Go to Settings, then Business tools, then Away message, and write something that sounds like you, not like a robot. Here is a template that works for most service businesses:

"Hi, thanks for messaging [Business Name]. We're closed right now — our hours are [your hours]. We'll reply first thing in the morning. Want to hold a slot? Tell us the service you need and the day that suits you, and we'll confirm it when we're back."

Notice what it does: it confirms you exist, it tells her when you'll reply, and it gives her something to DO while she waits. That last part matters. A customer who has typed out what she wants is far more likely to come back in the morning than one who just said "ok" to a robot message.

Give them the booking path, not just a promise

The strongest after-hours message doesn't just say "we'll reply soon" — it lets the customer start the booking. If you take bookings through a link, add it: "Book directly here: [link]." If you don't have a booking link, ask the two questions you'd ask anyway: which service, and which day. When you open your phone in the morning, the slot is half-booked already.

Clinics and workshops can do the same with a different spin: "Send us your car model and your concern, and a photo if you can. We'll quote it first thing." Photos taken at night, quotes ready by 9 AM. That is a business that looks professional while the owner is asleep.

The 15-minute morning sweep

The away message buys you time; the morning sweep spends it well. Before you open the shutters, spend 15 minutes on the overnight chats, in this order:

  • Bookings first. Anyone who answered your away message with a service and a day — confirm them immediately. These are the hottest leads you'll see all day.
  • Questions second. Price questions, location questions, "do you do X?" — answer every one. These are people mid-decision.
  • Vague hellos last. A single "Hi" with no context gets a warm reply: "Hi! How can I help you today?" Most will tell you what they need.

Do not batch the overnight chats "when you get a chance". By noon, half of them have moved on. The sweep is a routine, like opening the till.

Three mistakes that kill after-hours leads

Mistake one: no hours anywhere. If your away message says "we'll reply soon" but never says when, the customer has no reason to wait. Put your opening hours in the message.

Mistake two: the dead-end reply. "Sorry, we're closed" is a full stop. Always end with a question or a link — something that keeps the conversation moving without you.

Mistake three: forgetting weekends. In the UAE, Friday mornings and Sunday evenings are prime browsing time. Check your away message schedule actually covers your real closing times, including prayer breaks if your shop closes for them.

Set it once, check it monthly

This takes twenty minutes to set up and then runs itself. Once a month, read your away message again and update it: new hours, new services, a seasonal offer. A stale away message — wrong hours, an old promotion — does more damage than none at all, because it makes you look careless.

Your competitors' phones are silent at night too. The one who answers — even with an automatic message that actually helps — gets the booking. Be that one.
